These receipts need entered for every quarter January-March, April-June, July-September, October-December. (The drivers will drop all receipts in your box and mark the ones that were for the Peterbilt. Separate those out and save them until the quarter is up and you are ready to enter them. To enter:
Go to Doc Library>Quarterly Sales Records for KW> open last quarter (for example: “2018 1st Quarter Fuel Records”). Under file, select ‘Save As’, and save with new year if necessary, and correct quarter. Remove all the old information, deleting the content from columns ‘Date’, ‘Station’, ‘Gallons’, and ‘Fuel Cost’.
Gas receipts for the Peterbilt need to be put in the spreadsheet. From the receipt, fill in the date, station, state, gallons, and fuel cost. The computer will automatically calculate the total cost. If the receipt is from Gier Oil, the gallons purchased is not shown on the receipt. You can easily calculate that by taking an average fuel cost (for example: $2.249) and dividing the total amount on the receipt by that to get the gallons. Make sure the total amount that pops into the spreadsheet is right.
Take the stack of receipts to Bryan and tell him that they are in. He will take care of the job from there.
