Sending Sales Invoices

*Get all the Work Orders, Shipping Tickets, and Freight Bills from the inbox

*Click on “Invoices & SO’s”

*Hit Ctrl-O to open up the work order numbers

*Type in your number and hit enter

*Quickly glance over the Invoice and make sure it matches the work order (same number).

*Double check that each line item has a shipped quantity filled in. (If not, look at the work order and see if we actually shipped it.  If so, ask whoever filled it in (Dwayne if Common Carrier, or Leon if a route truck) to fill it in and get back to you.  (You can go ahead and scan, but don’t process or invoice), and keep a note which Invoice number you are waiting to hear back on.  If it goes more than a day, check up on it.)

*Scan the work order/shipping ticket.

*Click Documents at the top of the SO, and a window will open.  On the left hand side, click the ‘ScanSnap’ folder, click on your scan (the most recent scan, unless the other secretary is also scanning), hit Ctrl-X, backspace, Ctrl-V. Close window.

*Repeat with all other orders.

*When finished, In EBMS, go to Sales>Auto Send Sales Invoices.  This emails them out.  If any invoices come out of the printer, fold and mail them.
